Getting Started

What BuildMetrx is, who it is for, and how to see it running on your own jobs.

Getting StartedWhat is BuildMetrx?

BuildMetrx is software that helps contractors keep track of what their jobs cost. It has twelve tools that work together: invoice processing, cash flow, vendor tracking, CostMetrx, active job spend, field logs, budget, actual breakdown, inventory, equipment, cost per unit of work, and timesheets. With all of them in one place, the field, the office, and the books show the same numbers.

See every feature in detail.

Getting StartedWho is it built for?

It is built for contractors and owners who want to see all their jobs on one screen, project managers who run each job by the numbers, and the finance team that closes the books. Superintendents fill out the daily report from the field, and estimators use real costs from past jobs to price the next bid.

See who it’s for, role by role.

Getting StartedHow do I see it working?

Request a demo. It is a 30-minute walkthrough using your own job data. Bring a recent invoice batch and a live budget, and we’ll show you what BuildMetrx would have flagged. We reply within one business day, and there is no obligation.

Getting StartedI’m already a client. Where do I sign in?

The portal is at app.buildmetrx.com. The Sign In link at the top of every page goes to the same place.

Getting StartedHow much does it cost?

Right now we’re opening a few free 90-day demo spots. No credit card. Pricing comes out at launch.

Getting StartedIs there a free trial?

Yes. Right now we’re opening a few free 90-day demo spots. No credit card. We set it up with you, and you see your own numbers in it.

Getting StartedHow long does setup take?

After a demo request, our team confirms which jobs to load. Cost codes can follow CSI or your own structure. Job defaults auto-fill the cost code and unit cost on invoice lines, and vendor names are learned from your own review picks, so coding gets faster as you go.

02

Invoices & Payables

How invoices are read, reviewed, approved, and forecast.

Invoices & PayablesHow does invoice processing work?

You upload a stack of invoices at once. BuildMetrx reads each line and fills in the item, the cost code, and the price for you. On the review screen, you see the original invoice next to what BuildMetrx read, along with how sure it is about each line. You approve everything from one list, so nobody has to chase paper.

More on invoice processing.

Invoices & PayablesWhat happens when the reader is unsure about a line?

It says so. Each extracted line carries a confidence score, so a person only touches what the reader was unsure about. Item names are learned from your own review picks and merges, vendor by vendor, so the same correction is not made twice.

Invoices & PayablesWhen does an invoice count toward job spend?

Only once it is approved. Invoices still in review are shown but never counted, and actual spend is the approved line-item sum, pre-tax—so the job page, the invoices page, and the breakdown always agree.

Invoices & PayablesCan an invoice be approved before it is assigned to a job?

Yes. The invoices screen keeps a running count of approved invoices that are not yet assigned to a job, and a “Needs a job” filter, so nothing gets lost between approval and coding.

Invoices & PayablesHow does the cash flow forecast work?

Every approved invoice becomes a bill until it is paid. Due dates come from the invoice, the vendor’s terms, or Net 30, and you can change any of them by hand. An eight-week forecast shows the balance owed per week, bills group by vendor or by job, and the paid history keeps the record of what went out and when.

03

Prices & Vendors

Current prices, alerts, and vendor history.

Prices & VendorsWhere do the prices come from?

From your approved invoices only. Every item carries a current price per unit—per sheet, roll, or cubic yard—plus an all-time low and high and a full price history, and the current price is built so one odd invoice cannot skew it.

More on CostMetrx.

Prices & VendorsWhat sets off a price alert?

You get an alert when an item’s price jumps or drops a lot from what you usually pay. BuildMetrx also shows which prices changed the most in your recent purchases, whether they went up or down.

Prices & VendorsHow do I know which vendor has the best price?

On every item you buy from more than one supplier, vendor tracking shows who has the best price right now, who you buy the most from, and how that spend is trending—all built from approved invoices.

More on vendor tracking.

Prices & VendorsA vendor bills under two names. Does that split the history?

No. Vendor aliases are matched automatically, so one supplier billing under two names still reads as one history. Auto-tagging defaults per vendor also fill in the cost code and unit cost on new invoices, so there is less to type at review.

04

Jobs & Budgets

How job costing stays current and traceable.

Jobs & BudgetsHow do I compare my budget to what I spent?

You set the budget once for each job and each cost code. After that, every invoice you approve is checked against it. The jobs table shows the budget, what you spent, the difference, and how much of the budget is used, for every job side by side. You can also lock in your first plan, and a chart shows whether the job is ahead of it or behind it.

More on budgets.

Jobs & BudgetsWhat if a job has no budget?

It is called out in the jobs table, so nothing runs without a number to run against.

Jobs & BudgetsCan I trace a number back to its source?

Yes. Every job page links straight to its invoices and daily reports, so any figure can be traced to the document behind it. Spend by month and by cost code sit on the same page, so a spike shows both when it happened and what it was.

More on active job spend.

Jobs & BudgetsWhat cost code structure do you support?

CSI-style cost codes, or your own structure, applied consistently across every job. Every approved dollar lands on a cost code, and the actual breakdown shows the share of budget used on every category with anything running over flagged in red.

Jobs & BudgetsCan I export reports?

Yes. The actual breakdown produces export-ready reports for owners, lenders, and your accounting system, and approval routing keeps a complete, exportable audit trail.

05

Field, Inventory & Crews

Daily reports, material, machines, hours, and what a unit of work really costs.

Field, Inventory & CrewsHow long does a daily report take?

About two minutes per job. Weather and manpower are captured on one screen, with a flag when weather delays the work. Man-hours roll up per report—today, previous, and from start—and a daily board shows which jobs have filed and which have not.

More on field logs.

Field, Inventory & CrewsHow does inventory work?

Stock on hand is valued at the latest invoice price you paid for it, split by yard and site-container location. Crews sign material out to a job and return what they do not use, so shrinkage has a paper trail. Set a minimum per item and the low-stock list writes itself.

More on inventory.

Field, Inventory & CrewsHow is rented equipment tracked?

Owned and rented equipment sit side by side, with the rental meter in view. Machines on rent are matched to their rental invoices by serial or fleet key so rental dollars land on the right job, and overdue returns are flagged with a running weekly rental cost. What a machine cost on a job is carried into the real cost of the work it did.

More on equipment.

Field, Inventory & CrewsHow do timesheets calculate pay?

Hours times rate plus bonus equals pay. Clock-in and clock-out are typed straight into any day, even one saved weeks ago; lunch minutes are unpaid and deducted, and hours compute as you type. The week runs Monday to Sunday, hours past 40 pay 1.5× on the pay summary, and a worker without a rate logs no dollars—the rates-set counter tells you exactly what is missing before payroll closes.

More on timesheets.

Field, Inventory & CrewsWhat is “cost per unit of work”?

The real cost of a unit of work, per cubic yard, square foot, or each, from your own jobs’ real numbers. Every job you finish makes the next bid easier.

Account & Support

Several of these are still being finalized and are marked as placeholders.

Account & SupportWhat are your support hours?

7am–7pm Central, Monday through Friday. Existing clients receive a response within four business hours. Email support@buildmetrx.com or use the contact page.

Account & SupportWho on my team can see what?

You choose which pages each person can view or edit, and which jobs. Approval routing keeps a complete, exportable audit trail of who approved what.

Account & SupportIs there a mobile app?

Field logs, inventory sign-outs, equipment sign-outs, and timesheets are designed to be filed from the field.

Placeholder

Whether there is a dedicated mobile app, and how the system behaves offline, are to be confirmed.

Account & SupportDoes it integrate with my accounting system?

Yes, with QuickBooks. BuildMetrx is approved by Intuit for connecting to QuickBooks, and it never changes anything in your QuickBooks. We set up the connection with you on a call.

Reports also export for your accounting system, with every dollar coded to a job and cost code.

Placeholder

Integrations with accounting packages other than QuickBooks are to be confirmed.

Account & SupportHow is my data protected?

Sign-in takes two steps: a code by email the first time someone signs in on a new device, and after that the browser remembers them. Each person sees only the pages and jobs you allow, and your company’s information is kept separate from everyone else’s.

Hosting, encryption, and backups are to be confirmed.

Account & SupportWhat is the pricing and contract term?

Pricing comes out at launch. Right now we’re opening a few free 90-day demo spots, with no credit card. See the pricing page.
